Events Coordinator
Position Objective:
To coordinate PETA’s fundraising events
Term of Employment:
Full-time
Reports to:Director of EventsPrimary Responsibilities:
- Manage cultivation, retention, and solicitation events for PETA members and supporters, including anniversary galas, donor-hosted events, major donor events and other special weekend events, annual “donor-included” office events, virtual (online) events, etc.
- Manage the event timeline, keeping track of tasks to ensure that projects are on schedule for deadlines
- Coordinate the production of event materials and mailings (e.g., invitations, sponsorship forms, programs, thank-you letters) for events
- Establish and maintain good communication and relationships at all levels of the organization and with event vendors and PETA donors
- Negotiate with event vendors (e.g., hotels, restaurants, caterers, travel agents) to ensure the best possible value to PETA
- Recruit and manage volunteer participation in events
- Solicit in-kind contributions of goods and services for events
- Manage the fulfillment of event sponsorship “benefits,” such as program advertisements, signage, and similar acknowledgements
- Manage systems for collecting and maintaining event data (e.g., donor information, event costs, in-kind gifts, ticket handling and processing)
- Prepare a variety of analytical and evaluative reports, including those from the event/donor database system and follow-up surveys
- Coordinate additional event components, including auctions, entertainment, awards, and attendance, as requested
- Organize appropriate literature and campaign-focused content for events
- Take on additional duties and special projects, as requested by the director of fundraising events
Qualifications:
- Minimum of three years of customer service or donor services experience with increasing responsibilities or event-planning experience (preferably in a nonprofit or charitable setting) required
- Willingness to travel
- Ability to maintain professional working relationships with PETA staff members and volunteers
- Ability to meet deadlines
- Superior communications skills and organizational ability
- Ability to lift and carry up to 50 lbs.
- Must be over 21 with a valid drivers license and a clean driving record of three years
