Executive Assistant

Position Objective:

To provide a wide range of support to the Policy Department

Term of Employment:

Full-time

Reports to:

President

Primary Responsibilities and Duties:

  • Maintain standard operating procedures for clerical duties and ensure consistency with administrative assistants in other departments
  • Exercise good judgment and confidentiality with regard to correspondence, inquiries, and requests
  • Assist various departments with administrative assistant tasks
  • Draft responses to various inquiries
  • Coordinate travel arrangements
  • Assist with maintenance of the Policy Department’s financial records, credit-card expense reports, funding requests, check requests, production requests, and the timely approval or denial of these matters
  • Coordinate events such as senior staff retreats, senior staff meetings, and staff party invitations
  • Maintain Policy Department databases (e.g., autodials, calendars, holiday cards)
  • Coordinate speaking engagements and book signings for the president
  • Arrange autodials, and follow through with the script and setup to send, record, and distribute results
  • Professionally advocate PETA’s position on issues
  • Perform any other duties assigned by the supervisor

Qualifications:

  • Minimum of 2 years of college coursework required
  • 2-3 years of experience in an office setting required
  • Ability to establish priorities and meet deadlines
  • Ability to handle confidential information with discretion
  • Experience working with Microsoft programs required
  • Ability to exercise independent judgment and decision-making
  • Ability to work well without direct supervision
  • Good organizational skills and attention to detail
